The Role

 

The Student Success Unit is responsible for developing and supporting the delivery of an outstanding and distinctive student experience so that students have a high-quality University experience. As part of Student Success, the Careers Service supports all students and recent graduates to achieve positive graduate outcomes through tailored guidance, opportunities, and employer engagement.

 

As part of a Work Experience Team within the Careers Service, Student Success, you will play a key role in coordinating the administrative processes to support work experience opportunities.  You will contribute to a range of activity linked to student employment on campus, internships, and placement years, working closely with students, colleagues and employers to ensure an excellent student experience is at the forefront.

 

We have two Work Experience Coordinator roles available:

 

One open‑ended role supporting the Careers Service Placement Year

 

This role focuses on coordinating administrative processes for the Careers Service Placement Year, a 9-12 month, self-sourced, work experience opportunity for students. You will work closely with academic units, students and employers to provide information and ensure correct process. Additionally, you will assist in marketing and promotion of placement opportunities.

 

One fixed‑term (12 months) role supporting the NCL Internships scheme and Student Employment on Campus

 

This role focuses on coordinating the administrative processes for the NCL Internship work experience programme and student employment on campus. You will work closely with university colleagues and employers to create work experience opportunities for students, providing information and ensuring accurate, timely and compliant recruitment processes. Additionally, you will assist with vacancy coordination, promotion and onboarding activities.

Main Duties and Responsibilities

  • Coordinate administration and systems to support work-based learning programmes such as internships, placement years or student employment on campus, this may include:
  • Reviewing, improving and maintaining administrative and financial records to support work-based learning activities.
  • Administering all aspects of vacancy coordination and recruitment, including advertising vacancies, managing applications and deadlines, shortlisting applicants, scheduling, organising and conducting interviews, providing feedback, allocating candidates to assignments, and supporting broader onboarding and selection processes.
  • Signposting students to support relating to self-reflection and how to articulate the value of their work experience.
  • Develop, maintain and produce a range of data, evaluation and promotional reports, acting on feedback, developing examples of best practice and compiling quantitative and qualitative statistical data.
  • Ensure compliance with all prevailing employment legislation incl. UK Visa and Immigration requirements by conducting Right to Work checks for student workers.
  • Organise work experience sessions and coordinate all related communications.
  • Provide exceptional customer service to key stakeholders through:
  • Advising and guiding students throughout their work experience journey, supporting them individually and in groups, and signposting them to further opportunities and reflective resources to help them understand and articulate the value of their experience.
  • Developing and maintaining relationships with internal and external organisations to create work‑experience opportunities.
  • Monitor the employer and student experience throughout the work experience, maintaining effective evaluation processes to ensure satisfactory progress and outcomes, acting on feedback to inform improvements.  
  • To provide a first point of contact for issues that may arise, ensuring resolution where possible and referring to more senior colleagues where necessary.
  • Proactively market and promote work‑based learning opportunities to students, employers and colleagues by developing targeted outreach activities, engaging relevant sectors and organisations, collaborating with Communications and Events colleagues on cross‑University marketing, and building strong relationships with internal and external stakeholders to increase awareness, engagement and applications.
  • Provide supervision to the Work Experience Assistants, acting as a mentor, offering support, feedback and training.  
  • Work with colleagues across Student Success to ensure design and, delivery of our provision considers the needs and requirements of designated service user groups (e.g., students with additional needs, international students, Early Career Researchers, or Degree Apprentices).
  • Undertake any other duties reasonably requested in the delivery of the Careers Service’s strategic objectives including occasional out of hours/evening work.

  • Confident use of Microsoft Office (particularly Excel), databases, the internet and a range of social media
  • Administration experience in an office environment, including evidence of systems improvements

Qualitfications

  • English Language GCSE grade A-C or equivalent
