The role

 

You will contribute to the work of the Faculty Student Recruitment and Marketing Team in the co-ordination, organisation and delivery of a range of activities and initiatives designed to achieve undergraduate and postgraduate student recruitment targets in line with Faculty of Medical Sciences’ priorities and the University’s student recruitment and marketing strategy.


Key Accountabilities


•To provide the first point of contact for internal and external telephone and electronic contacts, enquiries and visitors for the Student Recruitment and Marketing Team, answering routine questions and taking appropriate action.
•Responsible for the supporting the organisation of large and complex Faculty team recruitment events for Year 7–12 students including Medicine and Dentistry (MaD) Days, Discover Medicine and Mini Medical School. Events are typically attended by up to 130 participants. The role requires: first point of contact with individual students and schools/colleges, sometimes to elicit confidential information; responsibility for liaison with external partners; receipt of bookings received, collation of registrants’ details, medical and dietary requirements; room bookings and layouts, venue arrangements and catering arrangements; provision of support on the day to resolve any issues and ensure the smooth running of the event.
•Representing the University and Faculty of Medical Sciences at undergraduate and postgraduate recruitment events locally and nationally. This includes acting as first point of contact for applicant enquiries, directing people to appropriate sources of information and ensuring enquiries are followed up after the event.
•Monitoring and maintenance of detailed and accurate financial records to report spend on Faculty UG/PG Recruitment accounts and support the Faculty Marketing and Recruitment Manager with the reconciliation of finances against SAP.
•Responsible for updating and maintaining the Student Recruitment social media accounts with Twitter and Facebook.
•Lead on Unibuddy chat platform for the Faculty, including monitoring platform daily and liaising with and training Unibuddy Ambassador.
•Administer payment for student ambassadors and student representatives. This includes being the lead for the Student Pay Apps.
•Provision of administrative support for the Faculty Recruitment Team This includes: diary management including exercising judgement in re-arranging meetings to ensure that urgent and important matters are prioritised; meeting organisation, note taking and circulation of minutes; support for committees including drafting, preparation and distribution of agendas and papers.
•Arranging travel, accommodation and logisitics to support events and trips.
•Conference organisation for external conferences including ordering resources and materials and arranging logistics.
•Act as expert buyer of university purchasing systems for the team.
•Any other duties as requested by the Faculty Recruitment Team, Office Manager or Director of Deputy Director of Faculty Operations.

•An awareness of the UCAS application system and recruitment and admission cycle for university students
•Excellent interpersonal and communication skills with the  ability to handle difficult and often sensitive situations
•Excellent presentation skills
•The ability to plan and organise intensive, complex, customer-oriented events or projects, including evaluation of effectiveness/impact
•Excellent time-management and prioritisation skills with the ability to manage a complex workload

•Attention to detail, excellent IT and proven financial management skills

•Direct experience of the UK school and HE system
•Experience of working with and enthusing young people about Higher Education
•Willingness to work some evenings and weekends
•Full, clean driving licence
•Willingness to travel throughout the UK and stay overnight, as required
•Receive Enhanced Disclosure from the Disclosure and Barring Service (formerly the Criminal Records Bureau (CRB)
