The Role

 

The Faculty of Science, Agriculture and Engineering is seeking to appoint an enthusiastic Operations Assistant to join the SAgE Faculty Professional Services team based within the School of Computing.


You will provide administrative support for the academic community, our students, and professional services colleagues. 


You will provide the first point of contact for academic colleagues and students. You will manage enquiries and provide a customer focused approach by consistently delivering excellent customer service. 


You will be involved with supporting the Schools events and other administrative duties within the School. You should be able to work successfully as a member of the team as well as an individual, working under pressure and prioritising your workload to meet tight deadlines.


We are looking for an individual with strong interpersonal skills, which will help you relate to our students, academic colleagues, and senior stakeholders. You should also be adept in organising, prioritising, and managing time effectively to ensure the smooth delivery of education administration. You should have a keen eye for detail and look to identify and implement improvements wherever possible. Working with a variety of stakeholders, you will demonstrate initiative, efficiency, attention to detail and a willingness to be flexible to support the wider team.


It is essential that you have recent experience of Microsoft Office. A forward thinking, proactive and positive “can do” attitude and flexible approach is vital to ensure the success of the role. Your ability to build and maintain effective working relationships at all levels will ensure you are a key member of our team.

Key Accountabilities

•    To provide a professional and proactive service to colleague, students and visitors with a clear focus on customer service
•    To provide general administrative support as required, including (but not exclusively) booking travel, purchasing, deliveries, assisting with the running of events, administering mail and stocks of consumables, day to day correspondence, reception services and diary management
•    To clearly communicate and disseminate information as requested and to maintain up to date unit records
•    To act as secretary to meetings including logistical arrangements such as room bookings, agenda preparation and circulation, minute taking and monitoring progress of actions
•    To undertake an active role in the health and safety management of a designated office, contributing to the maintenance of a safe working environment for colleagues and visitors
•    To contribute to the effective and efficient running of School offices through a team approach, providing assistance to colleagues as appropriate
•    To work as part of a wider Faculty and unit team and to undertake other duties within the scope and general nature of the grade which may be required

Qualifications

•    Maths and English at GCSE Level 4 or equivalent  
•    OR relevant work experience in an administrative or customer service setting
