The Role

 

Newcastle University Business School are looking for a motivated and organised team member to support student engagement and the delivery of careers and employability programme which combines marketing, customer service and administrative responsibilities.

 

You will support the organisation and delivery of careers and employability events, contribute to the promotion of the programme through engaging digital content and communications, and act as a first point of contact for student enquiries within the Career Hub. You will also provide essential administrative support to ensure the smooth running of the careers and employability programme.

 

This is a full-time, open-ended post.  Although we do offer blended working arrangements, due to the nature of this role you will be expected to spend most of your time on site, particularly during teaching periods.  We are happy to discuss this with you in more depth at interview stage.

The Engagement Assistant plays a key role in supporting student engagement and the delivery of the careers and employability programme at Newcastle University Business School, combining marketing, customer service, and administrative responsibilities. You will support the organisation and delivery of careers and employability events, contribute to the promotion of the programme through engaging digital content and communications, and act as a first point of contact for student enquiries within the Career Hub. You will also provide essential administrative support to ensure the smooth running of the careers and employability programme.

 

Key Accountabilities

  • Support the running and delivery of a variety of employability and external engagement events, including employer sessions, workshops, and networking activities, requiring occasional flexibility in working hours to support
  • Act as the first point of contact for all students in the dedicated Career Hub, providing a warm and professional welcome, responding to queries, and providing clear and accurate information about relevant careers services, events, opportunities, and advice
  • Capture, produce and post consistent and engaging content of the careers and employability programme, as well as wider school events and initiatives, for use across social media platforms.
  • Support the planning and delivery of specific projects within the school through effective administration, whilst maintaining accurate records and administrative systems
  • Manage the Career hub space, ensuring it is organised and presentable, and maintain and update physical and digital careers resources, ensuring materials are accurate, current, and well-stocked
  • Supports the Engagement Coordinator in creating student communication materials through emails and posters and maintains the Employability Virtual Learning Environment (Canvas)
  • Oversee the shared email inbox, ensuring timely and accurate responses to student emails and escalating complex queries to appropriate team members when necessary
  • Any other duties within the scope and general nature of the grade which may be required

  • Excellent customer service and interpersonal skills
  • Strong written and verbal communication skills
  • Good organisational skills with the ability to manage multiple tasks and priorities
  • Experience in an administrative or customer-facing role
  • Ability to work independently and as part of a team
  • Proficiency in Microsoft Office

 

Desirable

  • Experience working in a higher education or careers environment
  • Familiarity with event coordination
  • Experience in information, advice and guidance (IAG)
  • Experience of using a CRM system

Qualifications

  • Grades 4 – 9 (A-C) in English Language and Mathematics at GCSE (or vocational qualifications or equivalent level qualifications)
