The Role

 

We have an interesting opportunity for an Education Assistant to join our team.

 

You will be based at our Newcastle-upon-Tyne campus that has fantastic transport links and state of the art facilities.

 

We are looking for someone with skills in:

  • Communication – written, oral and able to demonstrate empathy,
  • IT – Microsoft packages
  • Organisation and prioritisation

 

To provide administrative support to the School of Medicine administrative team with a focus on Admissions.

Key Accountabilities

 

  • To provide administrative support to the learning and teaching function of the School across the full student lifecycle (from registration, through progression to completion)
  • Responsible for ensuring up to date information is uploaded to the appropriate University systems. In addition, to be responsible for inputting updates of teaching materials such as ReCaps on University systems as they arise, and the timely distribution of materials to staff and students
  • To support the organization of practical assessments and assist in setting up examination venues
  • To support the collation of timetable requirements in agreed timescales and, liaising with academic staff regarding requirements, advising on constraints and practicalities of requests
  • To provide support for the School’s Admissions where required; this can be significant for some programmes
  • Sift through MBBS applications with the team during the academic screening stage
  • Sift through UCAT scores of all applicants past the academic screening stage and send invites to interview and rejections where applicable
  • Organise and co-ordinate Interviews for approximately 1100 Home, EU and International applicants in support of the School of Medicine programmes. This will include use of University electronic systems and in-house databases, ensuring electronic devices are updated and ready for use. Effective and accurate communication is key. This will include generating selector interest to assist with the MMIs, setting up
  • Keep track of all applicant documents and evidence submitted to fulfil applicants conditions for admission
  • Process CAS for international students for student visas
  • Shared inbox management and answering queries for prospective applicants, offer holders
  • To submit complete and accurate data to the Occupational Health provider (LATUS), monitoring the progress of applicant submissions. Appending decisions from the service in relation to fitness to study, passing on any issues raised as appropriate, providing reports for relevant students to university wellbeing team in advance of their arrival in September
  • Liaise with Occupational Health colleagues to ensure all MBBS students undergo routine testing blood borne viruses in accordance with guidance from the Department of Health and Medical Schools Council
  • Arrange mass sessions of vaccination appointments for all on campus MBBS students
  • Provide accurate information to enquirers on entry requirements to MBBS and undertake amendments and updates to the external facing MBBS webpages under the direction of Administrator (Admissions) and School Manager. Timely management of email account
  • Any other duties within the scope and general nature of the grade which may be required. This includes some flexibility in working hours and may include occasional weekend working (in the region of two Saturdays per year)

 

 

The Person 

 

Knowledge, Skills and Experience

  • Working knowledge of relevant systems equipment, processes and procedures including standard software packages
  • Appreciation of the standards for the conduct and output of the role
  • Ability to communicate clearly orally and in writing
  • Good I.T. skills, i.e. good working knowledge of Microsoft Office software packages
  • Numeracy skills
  • Familiarity with work priorities and those of colleagues
  • Basic understanding of relevant policies and procedures, as they affect the role
  • Ability to apply relevant health and safety and other University policies and procedures
  • Working knowledge of relevant systems

 

 

Qualifications

  • Grades A-C in English Language and Mathematics GCSE (or equivalent) or vocational qualifications, plus work experience in a relevant role; or Substantial relevant work experience in the unit or a comparable setting
