The Role
We have an interesting opportunity for an Education Administrator to join our team.
You will be based at our Newcastle-upon-Tyne campus that has fantastic transport links and state of the art facilities.
We are looking for someone with skills in:
- Communication: written, oral, and able to demonstrate empathy
- Microsoft Office software packages
- Organisation and prioritisation
To provide administrative support to the School of Medicine administrative team with a focus on the Community Based Programme for MBBS.

Key Accountabilities
- Under direction of the Assistant Manager, has responsibility for the development of processes relating to NUCom for MBBS students in Years 3-5
- To liaise with NHS Trust administrative leads to ensure timely production of accurate placement allocations and timetables for students
- Responsible for maintaining accurate records for students and developing appropriate processes to support this
- Responsible for developing relationships with community and voluntary placement providers to support the student allocation process
- To manage the evaluation process for the NUCom Pathway and analyse data to support process improvements for the programme
- To work with the academic leads for clinical and community placements to support the allocation of students to other providers including primary and secondary care
- To manage the process of raising purchase orders and receiving invoices to support primary care teaching payments for over 200 GP Practices
- To support and deputise where necessary for the Education Team Leader in relation to GP recruitment and allocation across the entire MBBS programme
- To understand the financial process in relation to the regional travel and accommodation policy in order to process student travel and accommodation claims
- Management of MBBS webpages
- To provide support to committees as designated, taking minutes and ensuring the necessary follow-up is undertaken
- Any other duties within the scope and general nature of the grade which may be required. This includes some flexibility in working hours and may include occasional weekend working (in the region of two Saturdays per year)
The Person
Knowledge, Skills and Experience
- Working knowledge of relevant systems equipment, processes and procedures including standard software packages
- Appreciation of the standards for the conduct and output of the role
- Ability to communicate clearly orally and in writing
- Good I.T. skills, i.e. good working knowledge of Microsoft Office software packages
- Numeracy skills, accuracy of data
- Excellent attention to detail
- Familiarity with work priorities and those of colleagues
- Basic understanding of relevant policies and procedures, as they affect the role
- Ability to apply relevant health and safety and other University policies and procedures
- Working knowledge of relevant systems (SAP, P2P)
Qualifications
- Grades A-C in English Language and Mathematics GCSE (or equivalent) or vocational qualifications, plus work experience in a relevant role; or Substantial relevant work experience in the unit or a comparable setting
