The Role
Newcastle University Business School is seeking a motivated and highly organised Education Administrator to join our Education Team.
You will provide comprehensive support within a programme cluster, including a wide range of duties across all areas of taught studies to ensure that School, Faculty and University policies, deadlines and standards are met. This will include, for example, ensuring that activities in the School Education Activity Planner are completed across a defined cluster of undergraduate, postgraduate taught and/or postgraduate research programmes, acting as an expert user for one or more of the University’s learning and teaching systems, and providing support for student, accreditation and audit processes.
Possessing excellent organisation, interpersonal and communication skills, you will be passionate about providing students and academic staff with a consistently excellent level of service. You will have demonstrable work experience in a relevant role and/or comparable setting, with the ability to use initiative and apply judgement. You will have a working knowledge of relevant University systems, in addition to comprehensive knowledge of Microsoft Office packages, with the ability to manipulate and analyse information for management purposes.
You will manage the allocation of duties and workload of the Education Assistants within the programme cluster and will also act on behalf of the Education Team Leader, following an agreed set of guiding principles.

Key Accountabilities
- To manage the allocation of duties and workload of the Education Assistants within the programme cluster. The Education Administrator will act on behalf of the Education Team Leader following an agreed set of guiding principles
- Conducting Personal Development Reviews of Education Assistants as allocated by the Education Team Leader
- Working with a team of Education Assistants, and reporting to the Education team leader, to ensure that the appropriate activities in the School Education Activity Planner are completed across a defined cluster of undergraduate, postgraduate taught and/or postgraduate research programmes. These include but are not limited to;
- Determining and inputting amendments to annual documentation such as modules, regulations and handbooks, seeking advice from academic colleagues where necessary
- Having an oversight of exam papers and assignment briefs within the cluster, ensuring they are prepared, collated and submitted to deadlines in the prescribed format, including liaison with External Examiners. Managing coursework submission, including having an oversight for follow up for non or late submissions. In addition, administration of assessment and Boards of Examiners processes, including chasing missing marks or anomalies in marks
- Collation of timetable requirements in agreed timescales and, in liaison with the Education Team Leader, managing the practicalities of proposed timetables, taking into account appropriate locations, and liaising with academic staff regarding requirements, advising on constraints and practicalities of requests
- Responsible for the oversight of the student evaluations process, extraction of reports from the relevant system and provision to appropriate academic and professional service colleagues
- Ensuring that meetings (for example, Boards of Study) required within the programme cluster take place in a timely fashion, providing administrative support where required for specific meetings and resulting actions
- Ensuring that student records are accurately maintained, checking and providing reports to academic and professional service colleagues across the university as requested
- Providing support as requested to Post Application Visit Days
- Having an oversight of criteria-based decisions for absence requests and PECs made within the cluster, referring requests which require further decision-making authority to the relevant personnel, and communicating of decisions to students via prescribed systems on behalf of the relevant academic member of staff
- Responsible for the receipt, acknowledgement and response of Stage 1 appeals and complaints forms, for chasing additional information where required, tracking within stated timescales
- Acting as the expert user for the School of one or more of the systems used in supporting learning and teaching, i.e. SAP, Module Outline Forms (MOFs), NESS, Canvas, Student Portal and for training other staff where appropriate
- Providing guidance, based on regulations, to students and academic staff with regard to non-standard requests, and for providing student-based management information as required to colleagues
- To provide students with a consistent level of service and ensure they are effectively supported throughout their programme lifecycle, including whilst taking part in activities such as placements and mobility opportunities
- Providing information to meet requests linked to external audits, e.g., Home Office and professional bodies. In addition, liaison with relevant personnel regarding information required for completion of international sponsored student reports
- Working with the Education Team leader to run Attendance Monitoring reports, sending communications and arranging follow up meetings with academic colleagues in line with institutional policy
- Having an oversight of programme level accreditation requirements within the cluster and ensuring that academic colleagues are provided with appropriate support and information to enable accreditation to be achieved or maintained
- The post holder will be on the School’s reception rota and will be expected to take on a generic health and safety role within the School
- To work closely with colleagues/teams at School, University and faculty level to: deliver Business School strategy, ensuring alignment with the University’s strategies, policies, guidelines and approaches; share best practice in a service culture; and undertake joint planning with a commitment to change management in order to maximise impact and effectiveness
- To carry out other duties, as defined by line manager, which support the successful achievement of Business School vision and strategy

- Ability to train, develop and supervise other staff
- Working knowledge of relevant systems (SAP, NESS, MOFs, Canvas, Syllabus Plus, Evasys)
Qualifications
- Grades A-C in English Language and Mathematics at GCSE (or equivalent level qualification) plus experience in a similar role, or substantial work experience in a comparable setting
