Salary: £21,197 with progression to £22,662 per annum

The Role


The Business Engagement Team supports regional, national and international Graduate Recruiters in their efforts to recruit Newcastle University students and graduates.  In partnership with another Employer Liaison Assistant this post takes a leading role in organising the administrative workload and employer liaison for all activity, managing demand from Graduate Recruiters to visit campus, either in-person or virtually through Employer Connect, a programme of Presentations and Skills Sessions. This post is responsible for the administration for our Internship scheme; advertising and promotion of the roles, submitting shortlists to employers, organising student interviews, delivering student skills meetings, assisting with student bursary payments and marketing the scheme to our students. 


The role also has responsibility for approving employer registrations to the TARGETConnect Career platform in accordance with our duty of care, as well as the 3000+ Graduate, 9-12 month placement, internship & part time vacancies uploaded to the system every year. This is the key interface for our students and graduates to hear about and access opportunities specifically targeting Newcastle University.


The Careers Service at Newcastle University is responsible for providing support and delivering activities to enhance the employability of current students and recent graduates, regardless of background.

Working in the Business Engagement team, you will work with regional, national and international organisations looking to raise their brand awareness on campus and recruit our students and graduates.

You will be part of a team of Assistants coordinating a programme of digital and in-person employer engagement activity. You will liaise with recruiters on sign up/attendance for events, approve Graduate Recruiter registrations and vacancies in the TARGETConnect platform, ensuring they meet the terms and conditions of our Duty of Care policy.

You are also responsible for the administration of our Internship scheme which includes advertising & marketing the scheme to students, submitting shortlists and organising interviews, assisting with student payments and delivering student skills sessions.

To be successful in this role you should be able to demonstrate high levels of accuracy and attention to detail, be able to work as part of a busy and effective team, have good organisational and interpersonal skills and be a supportive and collaborative colleague.

You will be committed to providing a high level of customer service to both external recruiters, University colleagues and students, together with the ability to problem solve and use your initiative.

Key Accountabilities

  • Administer all aspects of vacancy coordination, including; employer liaison, recruitment advertising, marketing and promotion of opportunities, managing application deadlines, occasionally shortlisting applicants under the supervision of more senior colleagues, organising interviews, coordinating skills tests, arranging induction sessions and joining instructions, providing feedback to successful and unsuccessful candidates and matching appropriately skilled students to workplace assignments
  • Work in partnership with the Business Engagement Team to support the wider University in their preparation plan and timeline for submission for the QS University rankings
  • Prepare and conduct regular face to face student skills development, induction and information sessions, which can, in some business areas, include describing simple internship agreements and ensuring students’ expectations are clear and well managed
  • Organize all student and employer admin related to our internship schemes including advertising roles, sending shortlists to employers, organising interviews, delivery of student skills workshops, student payments and marketing the scheme to students including the delivery
  • Monitor the employer and student experience during work experience to ensure that everything is progressing satisfactorily. To provide a first point of contact for issues that may arise and referring to more senior colleagues where necessary
  • Develop rapport with employers face to face, over the telephone and by email, and to nurture and develop these ongoing relationships. This can include hosting employers at lunchtime and early evening events, offering support, guidance and advice when necessary, referring more complex queries to line managers as appropriate
  • Maintain appropriate databases, records and systems, including for external bodies, to evaluate student recruitment and internship programmes
  • Maintain and monitor financial systems, including coordinating purchase orders and invoices, ensuring that deadlines are met and budget controls are adhered to
  • Assist in the preparation of reports, including the analysis of recruitment and internship activity
  • Ensure that email and telephone queries are handled in a professional and timely manner, dealing with queries where possible and referring to others when necessary
  • With the guidance of more senior colleagues, proactively promote the varied options available to employers and students. These include on-campus events, recruitment fairs, opportunities to sponsor awards, advertising and events and vacancy advertising
  • Ensure that web, social media and other promotional materials are kept up to date in the post holder’s area of responsibility. This includes assisting with the generation of case studies
